Our approach: CBR Property Inspections handles personal information transparently and in accordance with applicable Australian privacy law, including the Privacy Act 1988 (Cth) and Australian Privacy Principles where they apply. We follow the same core practices as a matter of good business practice even if a small-business exemption applies to a particular activity.
1. Who we are

2. Scope of this Policy
This Policy explains how we collect, hold, use and disclose personal information when you visit our website, make an enquiry, book or receive a service, provide access to a property, communicate with us, subscribe to marketing, supply professional information, or otherwise deal with us.
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. This Policy does not apply to information that has been effectively de identified so that no individual is reasonably identifiable.
3. Personal information we collect
The information we collect depends on the service and your relationship with us. It may include:
1. identity and contact details, such as name, organisation, postal or service address, email address and telephone number;
2. booking, property and access details, including the inspection address, occupancy status, access instructions and contact details for owners, tenants, agents, builders, site supervisors or other authorised persons;
3. transaction and billing information, such as quote acceptance, invoice details, payment status and limited payment confirmation data; full card details are normally handled by the payment provider rather than stored by us;
4. service records, including correspondence, notes, contracts, reports, plans, approvals, defect lists, photographs, video, measurements and instrument readings;
5. professional, licence, project and dispute information relevant to technical, insurance, expert witness, tribunal or court work;
6. complaint, feedback, review, referral and marketing preference information; and
7. website and device information, such as IP address, browser type, pages viewed, enquiry form activity, cookies and analytics data.
We do not intentionally collect sensitive information unless it is reasonably necessary for a specific service or legal purpose and collection is permitted by law. If an inspection file incidentally records a person's image, health information or other sensitive information, we will limit its use and disclosure to what is reasonably necessary and lawful.
4. How we collect information
We usually collect information directly from you through our website, phone, email, booking forms, quotes, contracts, payment process, inspections, meetings and correspondence.
We may also collect information from a person you authorise, an owner, tenant, builder, real estate agent, buyers agent, strata or owners corporation representative, lawyer, conveyancer, insurer, consultant, government record, publicly available source or service provider where that collection is lawful and reasonably necessary.
If you provide information about another person, you must have a lawful basis to do so and, where reasonable, make them aware of this Policy. If practical, we will collect information directly from the individual or notify them of the relevant collection circumstances.
5. Why we collect, use and disclose information
We handle personal information for purposes including to:
1. respond to enquiries, prepare quotes, verify instructions and manage bookings;
2. coordinate lawful property and site access with relevant contacts;
3. perform inspections, assessments, measurements, analysis and reporting;
4. provide reports and communicate findings to the client and authorised recipients;
5. process payments, issue invoices, maintain accounting and taxation records, and recover legitimate debts;
6. manage construction-stage programs, reinspections, complaints, insurance matters, disputes and expert engagements;
7. maintain professional, insurance, legal, safety and quality-assurance records;
8. operate, secure, analyse and improve our website, systems and services;
9. send service communications and, with consent or where otherwise permitted, relevant marketing; and
10. comply with law, court or tribunal requirements and protect the rights, safety and property of clients, occupants, third parties and our business.
If you do not provide information we reasonably need, we may be unable to quote, confirm access, perform the requested service, issue a report, process a refund or respond fully to a complaint.
6. When we disclose information
We may disclose personal information where reasonably necessary for the purposes above to:
1. our employees, authorised inspectors and contractors who need the information to perform their duties;
2. the client and recipients the client authorises, such as a lawyer, conveyancer, agent, builder, insurer, lender or consultant;
3. property access contacts, but only to the extent reasonably necessary to arrange and safely perform the service;
4. technology, website hosting, email, cloud storage, booking, payment, accounting, document, analytics, communications, backup and cybersecurity providers;
5. professional advisers, laboratories, engineers, specialist consultants, insurers, debt recovery providers and dispute-resolution services where engaged for a legitimate purpose; and
6. courts, tribunals, regulators, law enforcement and government authorities where required or authorised by law.
We do not sell customer lists or personal information. We do not disclose personal information for another organisation's independent direct marketing without consent or another lawful basis.
7. Reports, photographs and property information
Reports may contain names, contact details, property addresses, photographs, plans, observations and information about occupants or project participants. We disclose a report only to the client, authorised recipients, our advisers or as required or authorised by law.
We may use de-identified inspection information for training, quality assurance, statistical analysis and service improvement. We will not publicly use an identifiable customer name, testimonial, project address, report or property image for marketing without appropriate permission. Deidentification includes removing names, contact details, addresses and other features that could reasonably identify an individual, while also considering whether the property itself may identify them.
8. Direct marketin
We may send service updates that are necessary for an enquiry, booking or existing engagement. We send promotional emails or SMS messages only with consent or where otherwise permitted by
law.
Marketing communications will identify us and provide a functional unsubscribe method. You can opt out at any time by using the unsubscribe link or contacting us. We will action the request within the period required by law. Opting out of marketing does not prevent essential service communications.
9. Cookies, analytics and external services
Our website may use essential cookies and similar technologies to operate forms, bookings, security and site functions. With the settings and consent mechanisms implemented on the website, analytics or advertising technologies may also collect device and browsing information to understand site performance and measure campaigns.
You can control cookies through available website settings and your browser, although blocking essential cookies may affect functionality. Third-party websites and platforms linked from our site have their own privacy practices, and you should review their policies.
10. Overseas handling
Some technology and cloud service providers may store, process or allow support access to personal information outside Australia. Based on commonly used website, email and cloud infrastructure, overseas locations may include the United States and other countries in which those providers operate.
Where applicable law requires it, we take reasonable steps before an overseas disclosure to ensure appropriate handling or rely on another lawful exception. Provider locations can change, so you may contact us for current information about the providers and countries relevant to your information.
11. Security
We take reasonable technical and organisational steps appropriate to our size, activities and information risks to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include access controls, device and account security, secure cloud services, backups, staff or contractor confidentiality, software updates and controlled disposal.
No internet transmission or storage system is completely secure. If you believe information has been sent to the wrong person or an account may be compromised, contact us immediately.
12. Retention and disposal
We retain personal information only for as long as it is reasonably needed for the purpose collected, to provide services, maintain professional and insurance records, meet taxation or other legal obligations, resolve disputes and manage legitimate claims.
Inspection, report, contract and financial records are generally retained for at least the applicable statutory, insurance and professional risk period. Some project or dispute files may need to be retained longer. Enquiry and marketing records are reviewed separately and should not be retained merely because they are easy to store.
When personal information is no longer needed and no law, court order, claim, insurance or professional reason requires retention, we take reasonable steps to securely destroy it or effectively de-identify it. Backup copies may remain until securely overwritten in the ordinary backup cycle, with access restricted in the meantime.
13. Access and correction
You may ask for access to personal information we hold about you or request correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details in section 1 and provide enough information to identify the relevant record.
We will respond within a reasonable period. We may need to verify identity. Access may be refused or limited where permitted by law, including where it would unreasonably affect another person's privacy, reveal commercially sensitive evaluative information, prejudice legal proceedings or be unlawful. If we refuse, we will ordinarily explain the reason and available complaint options.
We do not charge for making a request. If the law permits a reasonable charge for providing access, we will explain it before incurring the cost.
14. Privacy complaints
To complain about our handling of personal information, email info@cbrpropertyinspections.com.au with your contact details, the conduct complained of, relevant dates and the outcome sought. We will acknowledge the complaint, investigate it fairly and aim to provide a substantive response within 30 calendar days, or explain if more time is reasonably required.
If the Privacy Act applies and you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at www.oaic.gov.au. The OAIC may ask you to first give us a reasonable opportunity to respond.
15. Data breaches
We assess suspected data breaches and take reasonable steps to contain and remediate them. Where the Notifiable Data Breaches scheme applies and a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by law.
16. Children
Our services are directed to adults and organisations. We do not knowingly collect personal information directly from children for marketing or booking purposes. Property photographs may incidentally include children's belongings or images; where identified, we will avoid unnecessary collection or use and handle any required record carefully.
17. Changes to this Policy
We may update this Policy to reflect changes in law, technology, providers or business practices. The current version and effective date will be published on our website. Material changes will apply prospectively unless law requires otherwise.
